Under Node > Template there is a section called Document Communication Templates.
This functionality can be activated to automatically create and compile documents or files (e.g. employment form or commitment letter) with precise information that you have collected during the selection process via Datasets.
To create a Document Communication Template you need to:
- Create one or more Datasets with the information you want to use to compile the document;
- for this purpose, Internal Datasets can also be used, which the recruiter can fill in manually with the necessary data to be inserted in the Document Communication Template (e.g. in the case of the employment form: start of employment relationship, trial period, qualification, placement, place of work...); - Create a Word document and save it on your computer;
- Copy and paste the necessary placeholders into the created document, which will be automatically filled in by the system with the corresponding data (the list of placeholders is marked with the
);
- Click on Select file and upload the document to the platform again by going to Node > Template > Document Communication Templates > New Document Communication template;
- If the document you create only needs to be available in a certain step of the pipeline (e.g. the commitment letter only needs to be available in the step "Selected"), you can select the relevant step below. Simply drag it from the left column to the right column in the bottom Advanced Option section.
In order to download the document you have just created, you will have to enter the candidate's profile which is in the pipeline step where the Document Communication Template has been activated.
In the profile, next to the Timeline, the Doc section will appear from which the created document will be visible.
To download the document, you will need to click on DOC or PDF depending on the format you prefer and the placeholders will be automatically filled in with the required data.
At this point, the document can be sent to the applicant via Communicator or by email.
