Recorded video interview
In nCore HR, candidates can be sent an invitation to both a recorded and a live video interview.
The former, as described in the Position Creation section, can be added directly to the application process or sent separately by selecting the candidate(s) from the list on the position page and then clicking on the drop-down menu Invite to > Video Interview.
This last option also allows you to resend the video interview to the candidate in case there were problems with the recording.
On the candidate's profile page, in the top right corner, it is possible to review the recorded video interview (via the Play button ). In case you want to cancel it and send it back to the candidate for recording, you can click on the trash icon in the bottom right corner.
From the candidate's point of view, recording the video interview is very simple and intuitive. Once they have landed on the interview page, they will first see the welcome message with a video presentation of the company (if set up in the SetUp phase). By clicking on Proceed, the candidate will find the technical settings page. nCore HR will proceed to check the compatibility of the browser used, the microphone and the web cam, as well as the quality of the internet connection. After completing the settings, it will be necessary to record and review the test video, after which it will be possible to click on Continue with the tutorial.
The tutorial lasts a few seconds and explains exactly how the video interview interface works. If necessary, it can be replayed, otherwise you can click on Start video interview to continue with the recording.
nCore HR allows you to enter an unlimited number of questions in the Position Setup section, which will appear to the candidate one after the other, with the respective preparation and response time. At the end of the registration, the system will inform the candidate when they can close the tab.
Live video interview
A live video interview interface is also part of the platform.
To organize a live interview, you need to select one or several candidates from the position page and from the drop-down menu go to Live Meeting, where you can either schedule it Now (the candidate will receive an email with the link to the live connection) or manually via Manual Schedule (you will need to manually set the date and time).
In the column of the Datatable last live visible in the list of candidates, when a live interview is organised, the icon of the scheduled interview will appear with the link to access the live interview directly, which will later be replaced by the icon of the interview held. For both icons, the date and time of the interview is displayed.
In the case of Manual schedule, the recruiter will receive an e-mail confirmation with an ICS file attached, which can be saved in the personal calendar. The candidate, in turn, will also receive an e-mail confirmation with the date and time of the meeting which they can save in their calendar.
Once the candidate has received the invitation, they will be able to connect to the meeting, on the set day and time, via the link available in the e-mail. While waiting for the interviewer, the candidate will end up in the Waiting Room of the video interview (which can also be customized with the company logo and background image).
When the recruiter is also connected, the candidate will be able to proceed with the live video interview. If the recruiter selects the option to record the meeting, the candidate will be able to allow or deny the recording.
To automate and simplify the sending of the remote interview invitation, the Calendar Manager* functionality can be used.
By synchronizing your personal calendar with the Calendar Manager, you will be able to automatically send invitation proposals to the candidates based on the availability detected by the system in your calendar (Select candidate > drop-down menu > Live Meeting > Calendar manager).
The candidate will then receive an e-mail invitation and will have to select a date from those proposed and the meeting will then be automatically saved in their calendar and in the recruiter's calendar.
Once you enter into the live video interview, you will have a whole series of settings at your disposal.
The online interview can be recorded by the recruiter with the Recording button at the bottom of the page, and the recording will then appear in the candidate list on the position page under Details (the candidate will still have to give consent).
Moreover, by means of the button, a timer visible only to the recruiter can be started, which will trigger a countdown, the duration of which can be defined in a range between 5 and 60 minutes.
At the bottom of the live interview page, the candidate's first and last name, position title and pipeline step will be displayed. By clicking on the pipeline step, it will be possible to move the candidate directly from this step into another one.
In addition, several participants (e.g. managers) can also be invited via the following icon :
During the video interview you will still have access to the candidate's personal profile.
In this way you can write your feedback in the Notes, fill in the Internal Datasets with the information to be tracked and thus have access to all candidate data (Overview, Questions, Map etc.).
* Calendar Manager
To set up the Calendar manager, you need go to your profile in the top right corner (Hi, XXX) and click on Calendar manager. From the Account type drop-down menu, you need to select between Office or Gmail and then click on Set up account.
Concerning Office, to ensure that Outlook integration with nCore HR works, the licence must contain access to an Azure AD environment.
Additionally, in the next part Availability you can set your availability by selecting time slots and then Update Availability (the system will read both this availability and your personal calendar).
Under Advanced Options you can define: the duration of the video interview, how many invitation options to send, invitation expiry date, etc. By clicking on Update you will then be able to use the Calendar manager according to the settings defined here. The system will send candidates an email with proposals and the option to reschedule (at least once). The candidate then needs to click on one of the proposed dates and the system will send an access link.
