nCore HR allows you to manage external recruiter access through two distinct modes: named-user management and slot-based management. The management mode is defined at the tenant level and cannot be used simultaneously.
Management modes
Named-user management
In named-user management, each external recruiter is counted as a single license, regardless of the number of positions (sourcing) they are assigned to. For example, if an external recruiter is associated with two active positions, they will still be counted as a single occupied license.
Within the Access Management section, external recruiters are counted like other licenses and are shown as "engaged" as long as they have at least one active access. A dedicated page is available where you can view the complete list of external recruiters added via sourcing within the tenant.
Slot-based management
In slot-based management, the license count depends on the number of positions the external recruiter is assigned to. In this case:
- each association between a recruiter and a position occupies one slot
- if a recruiter is assigned to multiple positions, multiple slots will be occupied
For example, if an external recruiter is associated with two active positions, two slots will be occupied.
Access management
Named-user management
In named-user mode, the license is tied to the person. If access is terminated for the external recruiter from a single position, the license is not freed if the recruiter is still associated with other positions. To free the license, the external recruiter must be completely removed from all active positions. Only once all accesses have been terminated does the system update the count and make the license available again.
When a position is archived, all accesses associated with that position are automatically terminated. If an external recruiter is associated with both an archived position and a still-active one, they will continue to appear as active.
Slot-based management
In slot-based mode, each access is independent. Within the management section, you can see the number of active accesses for each user. To free a slot, simply remove the external recruiter from one of the positions they are assigned to. The slot count is updated automatically.
Accesses can be checked and managed both from the general view and directly from the individual position.
Considerations
- In named-user mode, the license is associated with the user
- In slot-based mode, the license is associated with the number of active accesses
- Removal from a single position frees a slot only in slot-based mode
- Archived positions automatically terminate the associated accesses
